OCM Program and Credentialing Assistant The Oncology Care Model (OCM) Team at Willamette Valley Cancer Institute and Research Center is looking for a stellar Program Assistant to support the departments growth. Working directly with the OCM and Quality Administrator, you will be tasked with a wide range of responsibilities such as high level correspondences, assisting in project management, processing request for information, and data management through programs like Excel. Some of the tasks revolve around data management and analysis of clinical information, so a combination of an analytical mindset with previous exposure to clinical, or medical office roles is ideal. Other major responsibilities will include assisting the Quality manager with credentialing work for the clinic as a whole. While previous credentialing experience is preferred, the ability to successfully navigate complex insurance, licensing, and certification processes will translate well into this role.

JOB SCOPE: Under direct supervision, provides administrative and staff support services for the department. Handles administrative tasks for projects, programs or processes specific to the operating unit served. Keeps records, statistics and files according to standardized procedures and requirements. May be the contact person for information on administrative processes. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards. This is not a secretarial position.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Provides administrative support for special projects to include research, credentialing, compiling data, and preparing standard reports.
Answers telephones, takes accurate messages, and screens and directs calls in a professional manner.
Composes, prepares, and proofreads correspondence, office memos, and reports on the computer; maintaining confidentiality when required.
Handles all administrative detail to support programs or processes under the direction of a manager. Includes handling requests for information, sending out routine letters and inquiries, answering questions, following up on problems or needed changes.
Prepares materials needed by the Department relative to the processes or programs.
Designs, implements, and updates forms for use within the office by applying knowledge of software applications.
Maintains files in an organized and accessible manner to include updating information, purging files on a regular basis, and creating a new filing system as needed.
Maintains program calendars and schedules meetings and appointments as necessary. May make meeting arrangements or coordinate needed changes.
Communicates with all levels of management on information relating to projects and other requests. Acts as a liaison between management and other staff.
Documents actions, processes and procedures supporting processes and programs.
May use and maintain databases and on-line records. Maintains accuracy of hardcopy and on-line records.
Receives and reviews patient lists for compliance with OCM quality measures. Conducts chart reviews to determine if patients meet denominator and/or numerator criteria.
Assists with chart review and documentation for various requirements related to the OCM.
Runs patient reports through Practice Insights and Informatics as requested.
Assists with monthly reporting for MIPS and creating monthly scorecards.
Provides feedback on documentation improvement strategies.
Provides feedback on inaccuracies and omissions in clinical data reports.
Experience and Education:
Associate's degree in business, office administration, or secretarial program required.
Minimum of three years of office administration experience. Medical or Medical Office experience is required.
Coursework in/knnwledge of medical terminology.
Oncology experience preferred.
Must be proficient with Microsoft Excel.
