KEY RESPONSIBILITIES:
Endowed Chairs:
An endowed chair is the highest award a university can bestow on a faculty member, usually in the form of recognition (a title that is typically named according to the donor's wishes) and financial support. It is established by a donation to the university and exists to honor the donor as well as the named holder of the appointment. The nomination and appointment process for those who will occupy endowed chairs must be rigorous and transparent, assuring that endowed chair resources are supporting the institution's most distinguished faculty. The Executive Faculty of Vanderbilt University's School of Medicine has approved a process for review and appointment of a faculty member to an endowed chair.
Responsibilities:
- Maintain documentation of endowed chairs in the School of Medicine.
- Manage the endowed chair nomination process for the School of Medicine.
- Assemble and support the review committee in its charge.
- Prepare documentation for approvals and appointment.
- Distribute appointment letter to concerned parties.
Department Chair/Center Director Search Committees:
Upon appointment by the Dean of a faculty search committee for a department chair or center director, coordination with the selected search firm will include the following:
Responsibilities:
- Organize, attend meetings; Prepare minutes, as needed.
- Assist with drafting a prospectus/position specification to be shared with the search committee and interviewees;
- Coordinate ad placement in journal/s and web postings with committee chair; work with journal advertisement office on timing and appearance;
- Work with the committee chair to prepare correspondence to other universities/medical centers soliciting potential candidates;
- Assemble and maintain applicant list; complete web search for information on potential candidates;
- Coordinate interviews and candidate visits which includes travel arrangements, preparing agendas, lunches, dinners, room scheduling and lecture announcements;
- Document financial expenditures; confirm center number, keep receipts, prepare reimbursements.
FMLA, Medical, and Parental Leaves and Leaves of Absence:
Certain benefits that are afforded to School of Medicine faculty involve awareness and interaction with the Office of Faculty Affairs:
- Process FMLA, medical, and parental leaves and leaves of absence for faculty in the School of Medicine.
- Maintain log of actions;
- Confirm eligibility of faculty member after receiving eligibility form from human resources;
- Forward the medical leave determination form to the appropriate department on behalf of the associate dean;
- Prepare approval letter for associate dean's signature after confirmation from department;
- Distribute letter to concerned parties;
- Enter information into Faculty Information System (FIS) and file.
Coordination with the University for Acknowledgement of Faculty Achievements:
Responsibilities:
New Faculty Reception:
- Assist the Chancellor's office with preparations for the annual new faculty reception.
- Confirm list of new faculty in the School of Medicine;
- Work with departments to collect short biographies;
- Submit biographies in requested format.
25-Year Service Awards:
- Assist the vice provost's office with preparations for the annual 25-year service awards.
- Confirm list of awardees;
- Collect chair orders and short bios from faculty;
- Submit bios and send to faculty for final approval before publication.
Date Requests:
Analysis of data associated with faculty membership and related to the biennial Faculty Satisfaction Survey:
Responsibilities:
- Work with OFA colleagues to facilitate the Faculty Satisfaction Survey through REDCap.
- Prepare data per requests for faculty information.
Other responsibilities to be determined by administrative director of the Office of Faculty Affairs, or Associate Deans or Sr. Associate Dean.
