The Administrative Manager I reports to the Fred Hutchinson Cancer Center Practice Plan Administrator within the Medical Staff Office, and performs specific functions related to the Inpatient Hematology-Oncology attending physician and APP services at the University of Washington Medical Center (UWMC). Primary duties support clinical practice, education and/or program management as delegated by and in collaboration with the service Medical Director. This position provides scheduling and support for Inpatient Hematology-Oncology service activities that promote the delivery of quality care and service, effective problem solving and communication, and continued professional development for self and others. This position has fiscal responsibility for tracking and recording expenses and Continuing Medical Education (CME) reimbursement processes for the APPs on the Inpatient Hematology-Oncology service. This is a hybrid position and is expected to be on-site at Fred Hutch a minimum of 2 days per week.
Responsibilities
- Serve as a point of contact representing the department to leadership, other departments, individuals and outside organizations.
- Serve as liaison, representing the department to other departments within the organization, partner institutions, and outside organizations/vendors.
- Manage projects that support business operations by designing project/study methodologies, data collection and data management, setting project study goals and timetables and insuring research and administrative tasks are completed.
- Identify and resolve operational issues with authority to deviate from established policies and procedures without prior approval.
- Interpret regulation and draft and interpret policies, procedures and best practices for the department or unit as it relates to the business function of the unit or ongoing stakeholder education.
- Organizes and participate in staff educational activities.
- Plans, organizes and oversee events offsite, determining and securing necessary resources, setting agendas and negotiating rates and contracts as needed.
- Provides overall staffing for applicable SCCA Board Committees.
- Manage scheduling, catering and communication support to the Executive, VP and/or Directors for complex meetings, replying about availability, and time sensitive assistance.
- Coordinates team activities including pre-retreat meetings, travel and meal planning, on-site logistics and meeting facilitation.
- Determine content, design and write correspondence, documents and presentations.
- Onboard new staff.
- May supervise staff.
- May review time sheets and approve as needed.
- Monitor department budgets, ensuring that all financial allocations and expenditures are in accordance with contract guidelines. Provide support to Executive, VP and/or Director/Associate Directors for submitting requisitions, tracking POs, invoice approvals.
- Coordinate space and equipment planning and utilization, evaluating current department needs and future needs.
- Attend committee meetings as determined and document proceedings.
- Assist Executive, VP and/or Director/Associate Directors in preparing for and participating in regulatory activities or investigations.
- Coordinate the production and distribution of special and recurring reports.
- Determine reporting needs and analyzes data.
- Maintain Intranet and Teams pages as applicable.
- Monitors and reports out on the organization issues management database.
- Support supply inventory and ordering for department
- Perform other responsibilities as required including but not limited to, special projects and events.
Qualifications
Required:
- Bachelor's Degree
- Minimum of three years of administrative management experience, and strong supervisory and budgeting skills.
Preferred:
- Master's degree
- 5 or more years of business experience in a related healthcare environment
- Other department-determined skills or experience may be required.
- Exceptional communication and critical thinking skills
- Ability to take initiative and use sound judgment in carrying out responsibilities.
- Ability to work in a fast paced, complex healthcare environment.
- Customer service skills.
- Ability to prioritize concurrent responsibilities and demands.
- Basic knowledge of medical terminology may be required for certain roles.
- Strong organizational skills, attention to detail, resourcefulness and a solid commitment to process improvement
- Advanced proficiency in Microsoft Office Suite
- Demonstrates initiative as evidenced by advancing technical skills, sharing knowledge with others and taking on more responsibility.
- Ability to work independently and as part of a team as the situation requires.
- Ability to communicate verbally in person, on the phone, and in writing in a clear, concise and professional manner.

The annual base salary range for this position is from $70,817 to $106,225 and pay offered will be based on experience and qualifications.
